1. Introduction

SalesCoach AI (“we,” “us,” or “our”) operates a sales coaching platform available at recall.kalyxi.ai. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform (the “Service”). By using the Service, you consent to the practices described in this policy.

2. Google User Data

SalesCoach AI requests access to the following Google data through OAuth 2.0:

Google Account Information (Sign-In)

  • Your name, email address, and profile picture
  • These are used solely to create and maintain your SalesCoach AI account

Google Calendar Data (Read-Only)

  • We request read-only access to your Google Calendar events to identify upcoming meetings that have Google Meet links
  • We access: event title, start/end time, attendee list, and Google Meet link
  • We do not modify, delete, or create any calendar events
  • Calendar data is used exclusively to schedule our AI note-taker bot to join your Google Meet calls for recording and transcription

How We Use Google User Data

  • Authentication: Your Google name, email, and profile picture are used to sign you into the Service and display your profile within the app
  • Calendar sync: Calendar events with Google Meet links are synced to schedule recording bots that join your meetings
  • We do not use Google user data for advertising, marketing to third parties, or any purpose unrelated to providing the Service
  • We do not sell, rent, or trade Google user data to any third party

Google API Services User Data Policy Compliance

SalesCoach AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use Google user data to provide and improve the Service's core functionality (meeting scheduling, recording, transcription, and AI coaching)
  • We do not transfer Google user data to third parties except as necessary to provide or improve the Service, as required by law, or with your explicit consent
  • We do not use Google user data to serve advertisements
  • We do not allow humans to read Google user data unless we have your affirmative agreement, it is necessary for security purposes, it is necessary to comply with applicable law, or the data is aggregated and anonymized for internal operations

Revoking Google Access

You can revoke SalesCoach AI's access to your Google data at any time by visiting myaccount.google.com/permissions and removing SalesCoach AI from the list of connected apps. Once revoked, we will no longer be able to access your calendar data, and meeting sync will stop. Previously synced data will remain in your account until you request deletion.

3. Other Information We Collect

Meeting and Call Data

  • Meeting recordings and transcripts generated when our AI note-taker bot joins your Google Meet calls
  • AI-generated coaching reports, scores, and insights
  • Talk-to-listen ratios and participation data

Organization Information

  • Organization name and team member details
  • Custom coaching templates and scoring criteria

Usage Data

  • Log data, IP addresses, browser type, and device information
  • Pages visited and features used within the Service

4. How We Use Your Information

We use your information to:

  • Provide, maintain, and improve the Service
  • Sync your calendar to schedule AI note-taker bots for your meetings
  • Record and transcribe your sales calls when you have opted in
  • Generate AI-powered coaching scorecards and performance insights
  • Send you notifications about your reports and account
  • Respond to your support requests

5. AI Processing

Call transcripts are processed by third-party AI models (OpenAI GPT-4o) to generate coaching reports. Transcripts are sent to the AI provider for analysis and are subject to their data processing terms. We do not use your call data to train AI models. AI-generated insights are stored in your account and accessible only to authorized users in your organization.

6. Data Sharing and Third-Party Transfers

We share your information only in the following circumstances:

  • Service providers who help us operate the Service: Supabase (database and authentication), Recall.ai (meeting recording), OpenAI (AI analysis), Resend (transactional email), and Vercel (hosting). These providers only receive the data necessary to perform their specific function.
  • Your organization: Managers and admins within your organization can view team members' coaching reports and call data as part of the Service's team coaching features.
  • Legal requirements: When required by applicable law, regulation, or legal process.

We do not sell, rent, or trade your personal information or Google user data to third parties. We do not transfer data to third parties for advertising purposes.

7. Data Security

We implement industry-standard security measures to protect your data:

  • AES-256 encryption for data at rest and TLS 1.2+ encryption for data in transit
  • Row-level security (RLS) policies in our database ensuring strict multi-tenant data isolation
  • OAuth 2.0 authentication via Google (no passwords are stored on our servers)
  • Webhook signature verification (HMAC-SHA256) for all inbound data
  • Rate limiting on API endpoints
  • Regular security reviews and monitoring

8. Data Retention and Deletion

We retain your data for as long as your account is active or as needed to provide the Service:

  • Call recordings: Retained according to your subscription plan (7-day or 30-day access), then automatically deleted from our recording provider
  • Transcripts and coaching reports: Retained for the duration of your subscription
  • Calendar data: Meeting records are retained for the duration of your subscription. We re-sync calendar data periodically; events you delete from Google Calendar will not be re-synced.
  • Account data: Upon account deletion request, we will delete all your personal data, including Google user data, within 30 days, except where retention is required by law.

9. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Export your data in a portable format
  • Withdraw consent for data processing
  • Revoke Google Calendar access at any time via Google Account Permissions

10. Cookies

We use essential cookies for authentication and session management. We do not use tracking cookies or third-party advertising cookies.

11. Children's Privacy

The Service is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting a notice on the Service or sending you an email. Your continued use of the Service after changes constitutes acceptance. The “Last updated” date at the top of this page indicates when the policy was last revised.
