We collect the following types of information:

Account Information

• Name, email address, and profile picture (via Google OAuth)
• Organization name and company information
• Billing information (processed securely by Stripe)

Meeting and Call Data

• Calendar events (synced from Google Calendar with your permission)
• Meeting recordings and transcripts from Google Meet calls
• AI-generated coaching reports and scores
• Talk-to-listen ratios and participation data

Usage Data

• Log data, IP addresses, browser type, and device information
• Pages visited and features used within the Service

3. How We Use Your Information

We use your information to:

• Provide, maintain, and improve the Service
• Record and transcribe your sales calls
• Generate AI-powered coaching scorecards and insights
• Process billing and manage your subscription
• Send you notifications about your reports and account
• Respond to your support requests

4. AI Processing

Call transcripts are processed by third-party AI models (OpenAI) to generate coaching reports. Transcripts are sent to the AI provider for analysis and are subject to their data processing terms. We do not use your call data to train AI models. AI-generated insights are stored in your account and accessible only to authorized users in your organization.

5. Data Sharing

We share your information only with:

• Service providers: Supabase (database), Stripe (payments), Recall.ai (meeting recording), OpenAI (AI analysis), Resend (email), and Vercel (hosting)
• Your organization: Managers and admins within your organization can view team members' reports and call data
• Legal requirements: When required by law, regulation, or legal process

We do not sell your personal information to third parties.

6. Data Security

We implement industry-standard security measures including:

• Row-level security (RLS) in our database ensuring multi-tenant data isolation
• Encrypted data in transit (TLS/SSL) and at rest
• OAuth 2.0 authentication (no passwords stored)
• Rate limiting on API endpoints
• Regular security reviews

7. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Call recordings are retained according to your subscription plan (7-day or 30-day access). Transcripts and coaching reports are retained for the duration of your subscription. Upon account deletion, we will delete your data within 30 days, except where required by law.

8. Your Rights

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Export your data in a portable format
• Withdraw consent for data processing
• Revoke Google Calendar access at any time

9. Google API Disclosure

SalesCoach AI's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only access Google Calendar data to sync your meetings and do not use this data for advertising or any purpose other than providing the Service.

We use essential cookies for authentication and session management. We do not use tracking cookies or third-party advertising cookies.

11. Children's Privacy

The Service is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting a notice on the Service or sending you an email. Your continued use of the Service after changes constitutes acceptance.
